A dynamic and long-established import and distribution company is currently seeking a full-time bilingual accounting and office assistant, who has substantial experience in accounting and office environment. Candidates should have extensive experience with accounts payable, data entry, filing, answering phones, and processing paperwork and have a strong working knowledge and understanding of billing, invoicing, and inventory processes. Key Responsibilities: • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing • Create and modify documents using Microsoft Office • Answer phone calls, meet and greet clients and visitors and perform superior customer service both online and offline • Perform accounting functions using QuickBooks as well as other similar inventory software similar to MAS 90 or Sage 100 • Enter all purchases, receipts and requisitions into system • Manage inventory across multiple warehouses and locations • Print month end inventories for physical count. Enter monthly inventory counts into system and reconcile any large discrepancies • Ensure that vendors are paid in a timely manner • Enter vendor invoices on a daily basis and maintain the accuracy of the vendor database • Review incoming invoices to ensure accurate account codes, prices, purchase orders, departmental approval and other necessary support • Input invoices into the accounts payable system • Process A/P payments weekly • Ensure vendor files and information is complete • Maintain accounts payable invoice files • Correspond with vendors and research any billing or payment problems when necessary • File yearly 1099's (December 31st) • Rotate AP File Cabinets at the start of new fiscal year • Obtains W-9's from new vendors to set up in system correctly • Other duties as assigned Skills & Abilities: • College graduate • Strong communication and people skills. • Strong attention to Detail • Ability to be discreet with information. • Ability to meet deadlines and maintain schedules. • Organized • Accurate • Able to multi-task • Ability to problem solve and think independently • Ability to work independently • Ability to follow-up and follow through on tasks of all varieties
